  1. Hello, My suggestion is to download the mailbox to a file (i.e. using Thunderbird) and then index that instead of using IMAP, if possible. Downloading a copy of the mailbox to a local file will show if there are any issues with IMAP synchronization of that account, like for example disconnections or time-outs. Another issue that you may see when using IMAP is when it comes to exporting. If the user mail has changed since the index and you try to export an item, that item may not be available to do so.
  2. Adam, Could you check the Windows Event Viewer to see if there were any issues reported by the OS? Go to: Start -> Control Panel -> Administrative Tools -> Event Viewer In the left panel, open Windows Logs -> System. This will show the Windows OS logs. In addition, you can try looking for events (especially in their vicinity) from source "Kernel-General", similar to this: The operating system is shutting down at system time ‎2014‎-‎06‎-‎08T22:36:19.519593600Z. The operating system started at system time ‎2014‎-‎06‎-‎09T06:56:34.595198400Z.
  3. Hi Adam, In the latest version of Intella 1.7.3 (revision 27410), there already is automated configuration process of memory. The Intella.l4j.ini configuration file determines how much memory is allocated for Case Manager. In simple terms, this is the window which you see when you start Intella, where you can choose to create new case or open existing case. When you create new case or open an existing case, new process will be created with it's own settings, which means that the settings from the ini file will not affect indexing/exporting/revieweing. The amount of memory that new case or existing case will be able to use is determined in the user interface. When creating new case, you should see label "Memory allocation" with "Auto" chosen by default. When "Auto" is chosen, Intella will determine the amount of memory that will be allocated for the case by checking how much RAM is installed. If you change "Auto" to "Manual", then you will be able to choose how much memory will be allocated. Before changing the memory settings, please take some time to check if the issues that you are experiencing are really related to memory. Memory issues can be recognized by errors in the log files containing the text "OutOfMemoryError" or "java heap space". Can you please confirm that this is the case? Could you please also elaborate a bit more on "Working with anything where the complete set of data is much over around 45 GB seems to greatly increase the chance of a crash."? How does this crash manifest? Did Intella disappear or did you just see that some files failed to process?

  5. Hi forensicdan, The ability to start an Intella server as Windows service is indeed on the roadmap for Intella Connect.
  6. Hello Jason, Generally speaking, there are three parameters that influence memory allocation and processes usage. Parameters -Xmx and -Dintella.serviceMaxHeap define the maximum memory allowed for main Intella process and Intella service processes. Parameter -Dintella.maxExtractorServices defines the maximum amount of Intella service processes that can be created. For optimal indexing speed, we recommend to allocate the available memory in a way that would enable more service processes. The rule of thumb is that the total memory allocated for Intella (Xmx + serviceMaxHeap * N) should be less than physical RAM size minus 1GB. For 16GB RAM, -Xmx7500M, –Dintella.serviceMaxHeap=3750M would work for 2 processes, 6000M/3000M for 3 processes and so on... Please note that having 100% system utilization might not be the best solution as this might be a sign of performance and speed degradation. Kind regards, Andrej Jesenko
  7. Hi all! We are currently in process of building a feature to perform redacting of e-mails, documents and all the items that you can view in Intella. In essence, you will be able to redact a PDF version of any item and export it with redaction marks covering selected areas. The original items will remain untouched. Now is the time for you to share your ideas and suggestions regarding redaction. What are your expectations? Specifically: which parts of e-mails or other documents would you expect to be able to redact. Will it be only the content or also meta-data? what would be your preferred or expected work flow of redacting documents? As an example, we could propose the following work flow: A user selects 3 items from Items table and groups them into a Redaction set. The set now contains newly created PDF versions of the chosen items. Then, for that set, the user chooses that he/she would like to redact basic headers (From, To, Subject, Date) and content of those items. The Redaction set is shown in a Facet. By choosing the items belonging to the set, he/she performs the redaction for each item in the set, as required. Finally, the user exports the 3 redacted items using an export wizard. The items are exported as new PDF documents with the redacted text removed. What do you think of the work flow described above? We are looking forward to hearing your opinion and suggestions.
